While you always want your rentals occupied, there are times when you might choose not to renew a lease. Maybe you’re planning some updates, or you’re looking for a better tenant. Whatever the reason, you’ll need a way to let your tenant know.

What is a non-renewal lease letter?

A non-renewal lease letter is a formal written notice informing a tenant that the existing lease will not be renewed once it ends. It helps clarify security deposit returns and ensures both parties understand when the tenant will need to vacate the premises. Also known as a “lease non-renewal letter” or “end of lease notice.”

Without this notice, the tenant may have the right to stay an extra one to three months or even claim rent in some cases. Landlords usually send renewal notices to avoid issues, even if the lease doesn’t specifically require it.

What to include in a non-renewal of lease letter

A non-renewal lease letter needs to clearly cover the key details of the lease’s end date, move-out expectations and contact information.

Here’s what to include:

  • Tenant’s name and contact details
  • Rental property address
  • Date the notice is written
  • Lease end date
  • Move-out deadline (last day of tenancy)
  • Reminder to leave the property in original condition (allowing for normal wear and tear)
  • Instructions for returning keys and access devices
  • Contact information for any questions or clarification

When to send a letter for non-renewal of lease

Landlords should send a notice of non-renewal lease letter 30, 60 or 90 days before the lease ends, depending on the original lease agreement terms. Check local laws, as some states require specific notice periods for non-renewal.

For example, in California, landlords must notify tenants of non-renewal within 60 days for month-to-month leases and 30-90 days for annual leases. This state also requires landlords to have a"just cause" not to renew a lease, such as lease violations or a landlord’s intent to move into the property.
